How to Become an ISO 41001 Certified for Facility Management System

ISO 41001 is a standard published by the International Organization for Standardization that sets forth guidelines for facility management. The ISO 41001 was released in April 2018 and, supporting documents were also published, including standards outlining FM vocabulary, key concepts, benefits, and agreement development The ISO 41001 standard goal is to help establish efficient and effective FM, follow constancy when defining FM requirements, and achieve sustainability.

There are a few things to consider before beginning the ISO 41001 certification procedure. The following list is taken from the standard's parts, and it should give a good idea of what certification would entail for the company.

·         Understand the scope of the standard: The knowledge of the scope of ISO 41001 is beneficial. Its goal is to help companies through the process of building an effective FM system that fulfills the demands of all stakeholders. The standard is not particular to any location or industry, and as a result, it is intended to apply to companies of all sizes, types, and jurisdictions across the world. It may give regulatory compliance suggestions, but it does not provide information on local, state, or national regulations.

·         Use reference documents: Because the standard's text frequently references ISO 41011, it is useful to have that document available when viewing it.

·         Understand the terminology: ISO 41001 also includes a glossary of words that might help with determining how the standard should be applied. So, knowing the terminologies of the ISO 41001 standard will be beneficial while implementation.

·         Know the context of the organization: The initial stage of ISO 41001 implementation is planning, and the first step in planning is to understand the overall organizational needs and context. The requirements of individuals who may be influenced by FM systems, such as customers, partners, workers, and other stakeholders, are an important facet of the organization's context. So the best way to jump into the certification process is to provide ISO 41001 certified auditor training, So all the key persons understand what is important for the standard or not.  

·         Involve leadership: Without leadership participation, no FM plan can get off the ground. When it comes to creating a strategy that works, identifying the roles that leaders play in facility management, defining policies, and outlining organizational roles and duties are all important tasks.

·         Plan: Planning should be based on the facility's goals, particularly those that come from the organization's vision and mission. Plan the actions that will be required to achieve the goals set out in the objectives. In addition, it identifies possible hazards and the activities that must be taken to reduce them. Along with these measures, it is important to know who is responsible for what and how they will be held accountable.

·         Get support: When it comes to developing an efficient FM management system for the business, outside help may be helpful—and frequently vital. Contractors and internal staff supply expertise and resources that assist the entire system run, while published ISO 41001 documents, documented data, and outside consultants can give much-needed knowledge. When pursuing ISO 41001 certification, even systems that give a greater knowledge of internal processes and external influences might be beneficial.

·         Implement plan into operations: It is time to put the well-thought-out strategy into action. It is critical to communicate with all stakeholders involved in this process, including operators, maintenance experts, contractors, managers, and anybody else who is involved in the operations. Integrating internal and external services into the operational controls is critical for ensuring that everyone is on the same page and that the system functions.

·         Measure and evaluate the performance: Once the FM system is in place, it is time to start evaluating the performance. Measuring key pointers, creating reports, and comparing metrics against industry benchmarks all play a vital role in evaluating the system’s performance. As a result, monitoring and analysis should be incorporated into the facility management plan. Conducting internal audits and management reviews would also be beneficial.

·         Find ways to improve: It is important to keep in mind that no FM system is flawless, thus the ideal methods will focus on constant development. As a result, continuous improvement can increase the system's effectiveness.
